Handling Lunch Breaks and Unpaid Deductions

When calculating net daily work hours from employee punch cards or time clock logs, gross shift hours must be adjusted for unpaid breaks:

1. Record Gross Shift Duration: Calculate total elapsed time between clock in and clock out (for instance, 08h 30m).
2. Apply Deductions via the Minus (minus ) Operator: Add an adjustment row for the unpaid break duration (e.g. minus 00h 45m).
3. Calculate Net Billable Time: The sum yields an exact net working duration of 07h 45m (465 total minutes).

Example Multi Shift Day

• Morning Block: 08:00 to 12:15 = 04h 15m
• Lunch Break: minus 00h 45m (Unpaid deduction)
• Afternoon Block: 13:00 to 17:30 = 04h 30m
• Total Net Working Time: 04h 15m + 04h 30m minus 00h 45m = 08h 00m

Converting Sexagesimal (HH:MM) to Decimal Hours

Payroll and accounting software (like QuickBooks, ADP, and Gusto) calculate gross pay by multiplying total hours by employee hourly wages. Because wage formulas require decimal numbers, sexagesimal minutes must be divided by 60:

Decimal Hours = Hours + (Minutes / 60) + (Seconds / 3600)
